Training - Advanced Users

This is intended for advanced users of the MASC system and managers who can extract their own data reports from the system.

Before you start this section you must be able to complete all the steps in Normal Operations

 

  1. Defining the Sales Prices
    Consider designing customer prices which can be grouped into 1 or the seven groups available in the product maintenance section of MASC. This will allow you to categorise your customers into one of those price bands and simpilfy the maintenance going forward.
  2. Deleting unused price matrix entries
    When you initially configure the system you may add unnessecary price matrix entries. The system can automatically delete unused priced in the matrix which have not been used and speed up the sales process for your staff
  3. End of Day audits
    At the end of each day you should check the sales report for the imported transactions by route to ensure you have a broad consistency. For example if a sync operation fails you may have duplicated dockets in your system which you will need to remove before invoicing.
    Check the cash received by driver to the cash processed in MASC. The daily amount received should also tally with the amount entered into your cashbook.
  4. Using Agents Reports
    If you have agents it is essential that you check the validity of the transactions on a daily basis and ensure that the agent commission and returns are in balance with the deliveries and expected margins. It is easier to rectify error earlier in the month rather than later.
  5. Remote Syncing the Handhelds
    MASC has a remote sync option which allows you to have unattended data syncing for your sales staff. The program will automatically check the name of the handheld been synced and download the correct route to the handheld. You will need to agree appropriate dial in times in advance to ensure that your staff can access the system at the alloted time.
  6. Sales Analysis Reports
    The sales analysis reports in MASC can give you a vital insight into your business. To enhance the information you should add a product cost to each product which will allow you to access profitability by route , or customer as required. IF you manufacture your product you can enter your current estimated cost. MASC will not export or change you other data in any way as a result of the cost data but the reports will have more meaning now and in the future.
    Consider using the Customer returns report which will analyse the sales and the product returns. This will be available from the start menu under MASC.
  7. Tracking Profitability
    Set a review timescale for your business and then print, review and follow up on the route sales reports. You should also print the missed sales opportunity report which will detail the sales calls not been made to yur customer over a selected time frame.
    You should also selectively review the route graphics to ensure you are optimising your sales route and that you have sales activity throughout the day
  8. Loading Customer Sales Information into your Computer
    MASC allows you to load sales history and sales contact details to your handheld. This is an elective process as the amount of data may be too large in some instances.
