Import Stock Data

• From the main menu select Sales>> Stock Import.  The following screen will be displayed.

After you have loaded the data from your handheld you can validate the data, import or review the transactions and delete.

Validate Stock Movements

This function will validate the imported stock movement entries and check for the following

1. That a Cost price exists for the stock code
2. That the Quantity is not blank
3. That the Date is not empty
4. That the Quantity is not Zero
5. That the entry type is defined

If the validation fails for any of the above reasons the following message will be displayed "Errors detected in imported data" - When you press OK a report will be displayed listing the errors.

If the records pass validation the following message will be displayed "Validation Complete" - press OK to proceed

If there are no records to validate the following message will be dispalyed "No Records to Validate" - press OK to continue

Import Stock Movements

This will import the transactions into the stock files. To proceed you must have your default Warehouse defined under program preferences. This is part of the configuration process and not changes should be made expect by the installer.

If the Default Warehouse is not list the following message will be displayed "Default Warehouse Not Defined" and the records will not be imported.

When the process is complete the following message will be displayed "Stock Transactions Imported" - press ok to continue

Review Stock Movements

When you select this option any transactions awaiting import are displayed. You can delete validate or correct entries before they are imported. You can use the status box at the end of the screen to restrict the view to validated or unvalidated transactions if required.

Delete Imported Transactions

Imported transactions are retained by the database for systems review purposes. These transactions can be deleted using this function.

Delete All Transactions

This will delete all Transactions regardless of status. If any unimported transaction exist the following warning message will be displayed - X is replaced by the number of records

"You have X Records which have NOT been imported, if deleted you will NOT be able to reload the transactions - Are you SURE you want to DELETE all the transactions "

If you select YES all transaction will be deleted if you select NO the action will be cancelled.
