Background Victor
Treacy International was
established in 1976 as a
refrigerated transport
company. Today, the company
still operates in the
refrigerated transport
business but has also
developed a shipping agency
business which allows
hauliers to book space on
all Ferry Companies with
guaranteed space and very
competitive pricing. In 1999
Victor Treacy required a
system which would control
the booking and reduce the
admin paperwork and
approached E-MS.
Solution
The main focus from the
start of this project was to
ensure that the system was
transparent to the customer,
in that it did not slow down
the process of taking a
booking by phone and allowed
the front desk staff to
easily identify the
customers existing bookings
for amendment or
confirmation.
Once a booking was made the
system would email or fax
the shipping company with
the travel details. The
ferry company would then
reply with a booking
reference which is sent as
an sms message to the
customer. As the
availability of broadband
increased Victor Treacy were
able to implement an XML
booking process which is
been rolled out across all
shipping companies, to
replace the faxing and
emailing of booking. The use
of technology in this way
has enabled Victor Treacy to
deliver faster response
times for its customers.
The
system was also designed to
reduce the administration
time by importing supplier
invoices and automatically
matching them to the
bookings in the system.
Customer sales invoices are
created and exported to the
accounting system.
The process and development
of the system has been
ongoing since 1999. As the
market or environment
changes Victor Treacy
respond by updating there
procedures and programs to
ensure a consistently high
quality service for their
customers.
