Case Study -
University College Cork
Background
As part of a secondment
to cover the finance officer
role, EMS were tasked with
improving the information
availability from the
existing system with a
modest budget. The College
had over 80 departments
which required monthly
spending reports and pay
listing analysis. The
current reporting system was
based on a VAX server with
most reports printed on
green listing paper or
transposed into excel for
printing on laser printers.
The process was time
consuming and labour
intensive.
Solution
The
solution involved extracting
the financial data from the
VAX system into a windows
access database. Reports
were then designed to match
the college requirements and
produced as Adobe PDF files
and Microsoft Snapshot
files. The reports are
loaded onto a intranet site
and users can access reports
for various departments
depending on the access
rights. The process was
automated to create the
reports on a monthly basis
following the close and the
system now generates over
1,700 reports which are
ready for distribution
following the month end.

reporting solutions to the
research office and
customised reporting to
provide the data necessary
for SFI requirements.
